Neurata is a strata management platform serving property management professionals in British Columbia, Canada. This Privacy Policy describes how we collect, use, and protect personal information in connection with our platform and services.
We are committed to compliance with the Personal Information Protection Act (PIPA) of British Columbia and the Personal Information Protection and Electronic Documents Act (PIPEDA).
Information We Collect
Account Information
When you create an account, we collect your name, email address, BCFSA licence number, and brokerage information. This information is verified against the BCFSA public registry.
Meeting and Governance Data
We collect and store meeting agendas, motions, votes, minutes, decisions, and documents that you create or upload through the platform. This data belongs to you and the strata corporations you manage.
Council Member and Owner Information
You may enter strata lot numbers, council member names, email addresses, and council roles. This information is handled with care and is only accessible to authorized users within your brokerage.
Payment Information
Payment details are processed by Stripe and are never stored on Neurata servers. We retain billing records including amounts, dates, and transaction identifiers.
Usage Data
We collect information about how you use the platform, including AI query counts, meeting counts, and feature usage. This data is used to improve the service and enforce fair-use limits.
Technical Data
We may collect browser type, IP address, and device information for security and diagnostic purposes.
How We Use Your Information
We use your information to:
- Provide, operate, and improve the Neurata platform
- Verify your BCFSA licence status and professional credentials
- Process payments and manage subscriptions
- Generate AI-assisted meeting minutes and governance responses
- Send service notifications, invoices, and product updates
- Enforce our Terms of Service and fair-use policies
- Comply with applicable legal and regulatory obligations
We do not use your data for advertising purposes and do not sell or rent personal information to any third party.
How We Share Your Information
We do not sell your personal information. We share information only with trusted service providers who help us operate the platform, and only to the extent necessary:
- Supabase — database and authentication infrastructure, hosted in Canada
- Anthropic — AI model provider for StrataSphere and minutes generation. Queries are processed in accordance with Anthropic's privacy and data handling policies
- Stripe — payment processing, governed by Stripe's Privacy Policy
- Postmark — transactional email delivery
- Vercel / Cloudflare — platform hosting and edge delivery
We may disclose information if required by law, court order, or regulatory authority, or to protect the rights and safety of our users or the public.
Data Storage and Security
All data is stored on servers located in Canada. We do not transfer personal information outside of Canada except where necessary to provide AI processing services (Anthropic), in which case we use industry-standard data protection agreements.
We implement reasonable technical and organizational security measures including encrypted connections (HTTPS), database-level access controls, and authentication through Supabase Auth.
While we take security seriously, no system is completely secure. We encourage you to use strong passwords and to notify us immediately of any suspected unauthorized access.
AI and StrataSphere
StrataSphere uses Anthropic's Claude AI model to answer questions about strata governance, past decisions, and BC strata law. When you submit a query:
- Your query and relevant strata decision records are sent to Anthropic for processing
- Strata owner identities are represented by strata lot numbers only (e.g. "SL 042"), not personal names
- Queries are not used to train Anthropic's models under our enterprise agreement
- Usage is logged for service quality and fair-use enforcement purposes
Cookies and Tracking
Neurata uses session cookies necessary to maintain your authenticated session. We do not use tracking cookies, advertising cookies, or third-party analytics that track you across websites.
Our marketing website (neurata.ai) does not use any third-party tracking tools.
Your Rights
Under PIPA and PIPEDA, you have the right to:
- Access — request a copy of the personal information we hold about you
- Correction — request that inaccurate information be corrected
- Deletion — request deletion of your personal information, subject to legal retention requirements
- Portability — request an export of your data in a machine-readable format
- Withdrawal of consent — withdraw consent for processing where consent is the basis for processing

Data Retention
We retain your account and strata data for as long as your account is active. If you terminate your account, we will retain your data for 30 days to allow for data export, after which it will be permanently deleted.
Billing records are retained for 7 years as required by Canadian tax law. AI usage logs are retained for 12 months.
Strata corporation records — including minutes and decisions — may be subject to longer retention obligations under BC strata legislation. We will advise you of your obligations upon request.
Children's Privacy
Neurata is a professional platform for licensed real estate professionals. We do not knowingly collect personal information from individuals under the age of 19. If we become aware that we have collected information from a minor, we will delete it promptly.
Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will post the revised policy on this page with an updated effective date and notify active users by email at least 14 days before material changes take effect.
